Instructions for Active Participation

For active participation at CUCAP (either with a talk or poster presentation of your research), please make sure to:

Please note that:

  • If more CUCAP participants share the authorship of a single abstract, only one of them – the presenting author – submits the abstract (and marks himself/herself as a presenting author in the registration form). Simply put, each abstract should be submitted only once.
  • There is no limit for the time between conference registration and abstract submission (other than the abstract submission deadline of May 1st). However, submission of your abstract without unnecessary delays will help the organizers.
  • All submitted abstracts will be evaluated and you will be notified whether your abstract has been accepted by May 5th.
  • If you are not invited as a speaker, please assume to be asked for a poster presentation. Nevertheless, you might still be asked to have an oral presentation instead if the program allows for it, which would also be announced by May 5th.
  • All abstracts must be submitted and presented in clear English with accurate grammar and spelling, and overall quality suitable for publication. Responsibility for the accuracy and completeness of the abstract rests entirely with the authors.
  • Abstracts that do not fulfil the requirements mentioned above or those submitted after the deadline cannot be included in the book of abstracts.
  • The presenting author undertakes to participate in the conference and to present their abstract in the section and time assigned to them in the programme by the scientific committee.

When something does not go as planned:

  • An automatically generated confirmation will be sent to the e-mail specified in the form after submitting the form. If you do not receive the confirmation (even in the spam folder) within 60 minutes of sending the form at the latest, please contact us at
  • If you would like to edit an already submitted abstract, please DO NOT fill out the form again, but rather contact us at Editing abstracts after May 1st is not possible.

Details of oral presentations:

  • Please allow 15%–20% of the allocated lecture time for discussion.
  • It is advised that you prepare your slides in an MS PowerPoint-compatible format in the widescreen aspect ratio (16:9). Please send your slides to before May 26th, 2023, or bring it to the event on a USB stick.

Details of poster presentations:

  • Posters will be presented in printed form.
  • Boards will be size A0, portrait oriented.
  • Material for mounting the posters will be provided at the venue.
  • Please be present at your poster during the poster session as indicated in the programme to discuss your research with other CUCAP participants.
